Our online file storage system

We have an account at Files To Go, which is an online site that stores files of any type and size.  Our customers are covered under our account, so you do not need to open your own account for any work we perform for you.

Please try the demo. The system allows users to upload or download files directly through a browser window.  I need to clarify that the demo may show the administrator's view. In real life, you will not be able to see the names or files of other customers.  My subcontractors will only have access to files that are assigned to them, so they will only see those file names and customer names and not anyone else's.

Each customer will have their own user ID and password.  The subcontractors also have their own user IDs and passwords, but they can only access files that are assigned to them.

Customers will not be able to delete their own files.  This setting was initiated to prevent potential abuse of our account.  Customers must notify me if there is a file that needs to be removed from the storage site and I will delete it.  Customer files will remain on the storage site until transcription and proofing are completed and only then will be deleted. 

The advantages of this particular file storage vendor includes:

  1. Overall security is excellent.
    1. Site is HIPAA compatible.
    2. Encryption tools available in addition to user ID and password protection.
  2. It has been easy for our customers to use.
  3. There are no file size limits. 
  4. There are no restrictions on types of files that can be stored or uploaded.
  5. Speed of downloads and uploads is very good.
  6. Very good uptime.
  7. Provides reports we use for management purposes.

Our advice for utilizing the site is

  1. Contact me prior to your first upload to my account to obtain your own user ID and password.
  2. Please notify me after you have uploaded a file to the system as the system does not notify me when a file has been uploaded.
  3. If you have an incomplete upload and want it deleted, let me know.
  4. Use the description area for anything you want to add other than your name or the file name, file size, date of upload, and time of upload because those will automatically appear in my display.
  5. Attempt to keep your file sizes small because, as you can see from their price list, they charge based on the file sitting in storage doing nothing, plus upload bandwidth used, plus download bandwidth used.  It becomes very expensive at times, particularly when a subcontractor downloads a very large file, because we also need a copy of the file here for proofing and billing purposes; a double download so to speak.  If the file size is small, we can e-mail some of the subcontractors the audio files, or they can e-mail a copy to me, and we save on one download from the storage system. 
  6. Completed transcripts are returned as e-mail file attachments, however, we can upload them to the file storage system for you to download if you wish.  Optional encryption is available for transcripts whether sent as an e-mail file attachment or uploaded to storage.
